How to Shop our Private Presale!

Volunteers get first pick of the goods! Less crowded shopping, no screaming kids (before 3pm), faster checkout lines, and private shopping with your PIO friends! Best chance to get the best deals on whatever you're looking for.

An event like this relies on lots of hands to make it happen. We need help with all kinds of things from inspecting and organizing incoming items to helping customers find what they're looking for during the sale. The bigger each sale gets, the more determined we are to produce a top quality event.

  • Consignors automatically have a worker account.
    Use your consignor login to sign up for shifts.
  • Non-consignors are not elligible to volunteer at this time. It's easy to become a consignor, just enter and bring 20 items or $100 worth of items!
  • Sign up for a shift or remove yourself from a shift online before the deadline. After the deadline, we expect to see you at your shifts!
  • Please make sure your account has a valid email address to receive email reminders about your shift and valid phone number in case we need to call you.

Benefits of Joining our Team

Consignors who also volunteer at the sale earn a higher percentage of their sales by performing certain tasks during the sale. We break the jobs down by time and type of job so you can choose what you will be doing for 4 hours.

There is a maximum number of 3 shifts any consignor may sign up for online. If you would like to work more, you must be approved to join our Team and will be asked to fulfill specific sale needs as your 4th and 5th shifts. Sale experience is necessary. In order to work 4 or more shifts you will join one of our specialty teams (Inspecting, Merchandising, Cashiering) plus work 1 Sort shift Sunday evening. We ask that those wanting a 5th shift please be able to work the Wed Presale 1-5pm (after shopping) in addition to a Sort shift. We will add you to your shifts on our admin end. If you would like to work more than 3 shifts, please talk with Jenna or Kim.

Consignors: Please log in with your consignor number and password so your shifts are linked to your consignor account and we can give proper credit. Pickup your Presale pass when you drop off your items and visit the check-in desk.

Meal/Snack/Supply Providers: Our Team works really hard to put on this sale and some of us (mainly Kim) forget to eat unless someone else is in charge of feeding us. This option is for those who would like to help the sale effort and shop the Presale but don't have anything to consign. You can still be a part of our team in a support way!

How it Works:

1) Bring a complete meal that feeds 8-10 people with an entree, side dish, and dessert. About half of our team eats gluten-free, so please be thoughtful.

Look at our Volunteer Schedule and choose a MEAL SHIFT that is OPEN.
(If it says FULL, that spot is taken.) The schedule has windows of time for when we would like the meal delivered. You may deliver earlier, if your meal does not need to be hot or if you can provide a way to keep it hot.

Please have a menu in mind and do not change your mind once you have listed what you will bring as we don't want the same thing 3 meals in a row. Soup is not a meal. We no longer require that you include utensils or napkins, but please provide plates or bowls. If you leave serving dishes or a crock pot, please label with your name and phone number on masking tape and plan to pick it up 24 hrs later or during Consignor Pick Up (if your number is on your items they can go with your pick up pile!). We do have a fridge on site but don't always have a kitchen so you may be picking up dirty dishes. Or bring everything in disposable containers that we can recycle, toss, or use for leftovers.

2) Provide Snacks or Supplies (approx $20-25 value). Limit 1 per person. We like to feed our volunteers (we don't have to feed them, we just like to!). There are also a few non-food supply items on the list, so you don't have to bring food. These fill fast.

(If it says FULL, that item is taken.) Please deliver your items during our Drop Off days to receive your Presale Pass. We use these items right away and for the duration of the sale.

What you Get: A pass to shop our Private Presale on Wed at 3pm (Snack/Supply) or 1pm (Meal Providers). This shift is meant for NON-Consignors. For consignors it will not count towards earning a higher % of your sales, however any consignor who brings a meal, snack, or supply WILL get bumped up to the next earlier shopping time. Meal/snack/supply spots are limited (the sale is only 11 days long) and fill up fast. The schedule gets filled on a first come first served basis.

Some notes about job duties:

  • Are you willing to do some heavy lifting, building, and using power tools? Join our Setup & Teardown crew! We'd love to have the same people at both and appreciate willingness to stay until the job is done. Men are most appreciated on these shifts, but some women enjoy it too! Sending a husband counts as your work shift! Email Kim to sign up for these hot shifts!

  • Grandmas are great workers, too! Send your mom or mother-in-law to help us if you can't make it, but watch out, they love the Presale as much as the rest of us and might not babysit while you go shop the Presale alone! (Of course you and your mom are welcome to shop the Presale together!)

  • We don't allow children to join moms on their work shifts with one exception. If you would love to work while wearing your baby (under 12mos), you may work as a Greeter. This job can easily be done with a baby on board and we'll work with nursing/feeding/diaper change breaks. Please contact Kim to find out which shifts are available so we don't have too many nursing babies on one shift. There are a limited number of Greeter spots and we'd like to accommodate all new moms who want to work with us.

  • We allow kids to work who are 15 or older. It is possible your younger child would be a great asset to our team, but we won't know until we see him or her in action. We have had younger children excel at certain jobs, and we have given them shift credit after working at least one sale as a trial run. If your child will require constant supervision, don't bring them. If your 15-18 yr old (techinically qualified to work a shift) would require constant supervision or doesn't want to be there, don't bring them!
  • If you are unable to stand for long periods, let us know and we will try assign you a low key job, but honestly there is no job where you can just sit for 4 hours. We will likely still need you to stand, walk, and maybe lift or carry things. If you are unable to lift heavy things, DO NOT sign up for Setup or Teardown shifts! Contact Kim about other special circumstances or if you have questions about job duties. We can usually work with special needs.
  • One more note: Inspectors wanted! If you think you have what it takes to be a PIO Inspector, let us know! Main requirements: an eye for detail and a desire to help our sale maintain our high quality reputation. Must attend a training session and be available to inspect on at least 2 shifts. Volunteers Half Price Presale Saturday night!

ALL Workers are invited to shop our Team Members' Only Half Price Presale on Saturday night. (Meal & Snack shifts do not qualify for Saturday night shopping.)

Public shopping ends at 5pm. We try to clear shoppers out as soon as possible, then take 30 minutes to organize the merchandise and allow Team Leads to begin shopping. We'll reopen the doors at 6pm for this Volunteer Only Presale.

Volunteer Policy — Please READ before signing up for a shift

In order to achieve a high quality event, we rely on a sufficient number of volunteer workers to show up when they are supposed to. Pass It On requires that volunteers fulfill their obligation to work the shifts they sign up for. All workers must be on time and work their entire shift (unless released early by Pass It On sale owner) to reap the benefits.

Workers who do not follow through with their commitment will be banned from volunteering at future sales, which means no shopping at future Worker Presales. If the worker who fails to show is a consignor, Pass It On will deduct 10% of their earnings or $30 from their final check for EACH shift missed. So for 3 shifts missed, you would lose 30% of your sales or $90. Please don't sign up for more shifts than you know you can handle.

If you find it necessary to cancel a work shift or reschedule your shift, please do so as soon as possible. You can remove yourself from a work shift and/or sign up for a new shift by logging in to the Volunteer Registration system until it goes offline. In the rare event of an unavoidable family emergency, please contact Kim as soon as possible at 503-830-6509 to discuss your situation.

If you cannot make it to your shift after the system is offline, send a replacement to avoid being banned and your privileges will stay intact. Extenuating circumstances may be considered (such as a death in the family) and the worker may be allowed to volunteer again, but the deduction still may be taken at the discretion of Pass It On management.

Please note that this policy has been created in order to maintain a high quality sale. We want to attract only volunteers who are responsible and dependable. Please thoughtfully consider the commitment before you put your name down for a shift. Positions are limited, and you could be taking up a spot someone else would have gladly filled. When you cancel at the last minute, we cannot find someone to fill your vacancy, thus we are short handed and not able to handle traffic and sales as we need to. Thanks for your consideration.
